Leads and prospects

Practice managers, business development staff, and admins use the Lead menu to work through prospective and returning clients before they become billable client accounts. Client-submitted service requests also arrive here — see Service requests for how to review and convert those.

If Lead or Add (the plus icon) is hidden, see Permissions and Visibility.

Select Lead in the left sidebar, then select Lead again in the menu that opens. Each row is one lead, whether a client submitted it from the portal or your team added it directly.

Columns shown by default: Lead Code, Full Name, email, Lead Type, Lead From, Assignees, Status, and Created At. Is New Client is available from the column picker but hidden by default.

  • Lead Type is Individual Client, Business Client, or Open Corporation.
  • Lead From shows whether the lead came from the Client Portal or was added from the Admin Portal.
  • Status is Open, In progress, Converted, Rejected, or Draft (a lead saved with Save as Draft). The column displays a converted lead as Converted/Closed.

Quick filters above the list: Individual Client, Business Client, Open Corporation, New Client, Existing Client, Pending, and Converted/Closed. The list excludes converted leads by default — select Converted/Closed to bring them back into view.

Use this when you want to start a lead yourself instead of waiting for a client portal submission — for example, after a phone call or a referral.

  1. Open the Lead list.
  2. Select Add (the plus icon).
  3. Under Client Type, choose New Clients to start a lead with no existing record, or For Existing Client to attach it to a client already on file and pick that client under Select Client.
  4. Choose the service the lead is for, then fill in Contact Information for the person submitting it. Use Refer By to record where the lead came from (see Record who referred the lead).
  5. Depending on the client type, fill in Client Information (individual), or Business, Executive, and Shareholder (business or open corporation). Use + Add Executive or + Add Shareholder to add more than one.
  6. Fill in the Service step.
  7. Select Next to move between steps, Skip to move on without finishing a step, or Save as Draft to save your progress and come back later. Select Submit on the last step to finish.

On the Contact Information step, Refer By lists Google, Ads, Friend, Other, Employee, and Client. Your choice decides what Assisterp asks next:

  • Google or Ads: enter Referral Information, such as a name, email, phone number, or other details.
  • Friend or Other: enter Refer By Name and Refer By Phone Number.
  • Employee: pick the person under Employee.
  • Client: pick the client under Client.

When the lead is for an Open Corporation service, Refer By and the field that follows it are required.

Open a lead and, on its Contact Information tab, select Select Assignee to add or remove the employees working the lead. Assigned employees also show in the lead’s Assignees column on the Leads list.

Select Assignee sits in the For Office Use card (titled Office Use in Lead V2), which only people with office-use access see.

Selecting Lead in the sidebar opens a menu with two choices, Lead and Lead V2. Both show the same leads, with the same list columns and quick filters, and a lead can be converted from either. Lead V2 presents them in a redesigned layout, and its list is titled Lead Version 2.

What differs in Lead V2:

  • When you add a lead, Client Type, Select Client (for an existing client), Choose Service, and Choose Item appear together as a row of dropdowns.
  • A lead’s detail page has no separate Task tab. The lead’s tasks appear on the Contact Information tab instead.
  • Its saved filters are kept separately from the Lead list’s (see Search, filter, and sort firm data).

Reviewing a lead’s tabs and converting it into a client or a service works the same whether the lead came from the client portal or was added manually. See Service requests for that flow, including the tabs shown, the Convert to client / Convert to Service button, and the Conversion Confirmation step.
